Japan-Thailand Friendship Network Code of Conduct
(Purpose and Basic Principles)
The Japan-Thailand Friendship Network (hereinafter referred to as "the Association") is committed to contributing to the development of friendly relations between Japan and Thailand, based on support for Thais in Japan, cultural exchange, and economic exchange. To embody the Association's vision of "Connecting people and cultures, and building a future for Japan and Thailand," and to ensure that all members who agree with the principles of our four values (friendship, cultural understanding, exchange, and future orientation) can operate safely and smoothly without any trouble, we have established this Code of Conduct (hereinafter referred to as "this Code").
(Principles of activity)
Participation in this organization is voluntary and based on each member's available time.
Our organization must not impose excessive burdens on its members or force them to participate in activities.
Chapter 1: Member Code of Conduct
Members, while holding membership in this organization (volunteer members, individual members, corporate members, and supporting members), must abide by the following standards and act with good judgment.
① Individual Dignity and Respect: In our organization's activities, we prioritize individual dignity, acknowledge each other's diversity and differences, and respect the opinions and perspectives of others.
② Prohibition of Discrimination: Discrimination or disadvantageous treatment based on race, nationality, sex, age, educational background, religion, political views, occupation, disability status, etc., is strictly prohibited.
③ Maintaining Equal Relationships: No hierarchy will be established based on age, language level, experience, or time of joining. All members will treat each other as equals.
④ Prohibition of Harassment: Any form of harassment that causes discomfort or emotional distress to others, including power harassment (harassment based on authority or superiority) and sexual harassment, is strictly prohibited.
⑤ Personal information and confidentiality: You must not disclose, reveal, or speak to any third party any personal information of other members, confidential information of our organization, or secrets of our activities that you have learned through these activities (this also applies after you withdraw from the organization).
⑥ Moderation in private interactions : Private interactions and communication between those involved in the activities shall be conducted with consideration for each other's privacy and in moderation.
⑦ Consideration for the Environment: In our organization's events and community activities, we will give full consideration to the environmental aspects and will not engage in any actions that would worsen the local environment, such as leaving trash behind or causing trouble for nearby residents.
⑧ Compliance with Laws and Public Order and Morality: Act with high ethical standards and good judgment, and do not engage in any acts that violate relevant laws, international rules, or public order and morality, whether domestic or international.
⑨ Formulation of a sound business plan: The management team of this organization (directors and secretariat) must formulate a business plan that takes into full consideration an appropriate operating budget, the time available for members to participate in activities, and their autonomy, and aim for sound and transparent management of the organization.
⑩ Prohibition of Commercial Activities and Solicitation Activities: You may not use our organization or events to engage in activities that benefit specific individuals or corporations, commercial activities (sales) without prior approval, religious activities, political activities, or persistent solicitation for such activities.
⑪ Maintaining the Corporation's Reputation: You must not engage in any actions that would damage the corporation's reputation or prestige, intentionally disrupt operations or event progress, or disrupt the organization's order (attempt to cause division).
Chapter 2: Response to Violations and Remedies
If any conduct that violates or is suspected of violating these standards is reported or reported from within or outside the organization, the organization will take the following actions.
Upon receiving notification of a problem requiring resolution , our organization will promptly establish an investigation committee, primarily composed of directors and administrative staff members, excluding the perpetrator (stakeholder), to resolve the issue. The members of the investigation committee will not be disclosed to ensure a fair investigation.
We prioritize the protection of information, including the privacy of information providers (whistleblowers) and those involved, and will treat information anonymously (ensuring confidentiality) as a general rule, taking every precaution to prevent any secondary disadvantages or harm to individuals.
In investigating the desired direction for a solution and taking appropriate action, we will adhere to the following two basic principles:
Criteria for disciplinary action (expulsion, suspension of activities, etc.)
In cases where a violation involves an act that violates laws and regulations, is malicious against an individual, or is repeated even after a warning, the Board of Directors may, through a resolution (and procedures stipulated in the Articles of Incorporation), take disciplinary action against the member in question (suspension of activities or expulsion) in order to maintain the sound operation of the corporation. Furthermore, the matter may be referred to judicial authorities as necessary.
Even if the perpetrator has no malicious intent or awareness of their actions, acts of harassment such as power harassment and sexual harassment will result in "suspension of activities for a reasonable period" or "expulsion" depending on the severity, provided there are objective facts and victims. Furthermore, if similar harassment occurs again after returning to activities after a period of suspension, immediate expulsion will be imposed without prior notice.
(Revision of these standards)
This Code of Conduct may be updated and revised as needed in response to changes in social conditions and the scale of the organization's activities. Revisions to this Code of Conduct shall be made by resolution of the Board of Directors.
